Our Commitment

BrainWise is committed to protecting the welfare of all children and young people who use our Platform. We follow UK safeguarding legislation including the Children Act 1989, the Children Act 2004, and Keeping Children Safe in Education (KCSIE) guidance.

Key Safeguarding Measures

DBS Verification

Every tutor on BrainWise holds an Enhanced DBS (Disclosure and Barring Service) certificate before their first session. We verify the certificate directly with the DBS Update Service where possible.

Session Monitoring

All live sessions are conducted via our built-in video platform. We reserve the right to review session recordings in response to a safeguarding concern.

Clear Reporting

Any user โ€” student, parent, or tutor โ€” can report a safeguarding concern directly to our team. We aim to acknowledge all reports within 24 hours.

Parental Oversight

Parents and guardians of students under 18 may request to review their child's session history and progress data at any time.

Designated Safeguarding Lead

BrainWise has a Designated Safeguarding Lead (DSL) responsible for overseeing all safeguarding matters on the Platform. The DSL is trained in line with KCSIE guidance and is the first point of contact for any concern raised internally or externally.

Tutor Recruitment and Vetting

  • All tutors must provide a valid Enhanced DBS certificate before going live on the Platform
  • Tutors must not have any disqualifying convictions related to working with children
  • We carry out identity verification on all tutor applicants
  • Tutors are required to agree to our Code of Conduct, which prohibits contact with students outside the Platform
  • We periodically re-verify tutor DBS status via the DBS Update Service

Safe Online Environment

  • All communication between students and tutors must occur within the Platform
  • Tutors are prohibited from sharing personal contact details (phone number, personal email, social media) with students
  • Our video sessions are conducted in a way that discourages one-to-one unsupervised contact
  • Students can block or report a tutor at any time from their session interface

How to Report a Concern

If you witness or experience any behaviour on BrainWise that concerns you โ€” including inappropriate conduct by a tutor, unsafe content, or a child at risk โ€” please report it immediately:

Data and Confidentiality

Safeguarding concerns are handled with appropriate confidentiality. Information will be shared on a need-to-know basis only. Where we believe a child is at risk of harm, we may be required to share information with statutory agencies (e.g., local authority children's services, police) regardless of confidentiality preferences.

Policy Review

This policy is reviewed at least annually or following any significant safeguarding incident. We welcome feedback on our safeguarding practices at safeguarding@brainwise.org.
